Venue Introduction

Access to Arena

Please call Dave Hawkins at 0402 482 411 or Chris Meiklejohn at 0427 310 245 to obtain the code for the lockbox to open the gate.


Hire Period

The booking will start and end at the times specified in the hire agreement. Access to the venue before or after these times is not permitted unless authorized by the Reserve Manager. The delivery or removal of equipment, setup, or cleaning of the venue must be completed within the hire period. Any changes or extensions to the hire period may incur additional costs.


Maximum Occupancy

No more than four horses are permitted at the venue at any time.


Payment of Fees

The hire fee must be paid in full at the time of entering into the hire agreement. The hire fee is non-refundable.


Non-Commercial Activity (i.e., casual riding)

Every rider must be a current member of Equestrian Australia and provide their membership number at the time of booking.

The Reserve Manager will not be liable for any damage, loss of property, or any goods and equipment brought to or left at the venue by the applicant or attendees before, during, or after any event.


Commercial Activity (i.e., the applicant derives income from this venue hire agreement)

The applicant must obtain public liability insurance at their own cost for the duration of the hire period. Coverage of a minimum of $20 million in respect of liability arising from any single accident or event is required. The applicant accepts full responsibility for any claims related to property damage or personal injury arising from the use and occupation of the venue.

The Reserve Manager will not be liable for any damage, loss of property, or any goods and equipment brought to or left at the venue by the applicant or attendees before, during, or after any event.


Indemnity

The applicant agrees to indemnify and release the Reserve Manager from any claims, judgments, actions, liabilities, and demands arising from any accident or injury to any person or property related to the use of the venue.

For the purposes of this clause, "Reserve Manager" includes His Majesty the King, His Heirs and Successors, the State of New South Wales, the Minister, and the agents, servants, employees, and contractors of His Majesty, His Heirs and Successors, the State of New South Wales, and the Minister.

The applicant appoints the Reserve Manager as their attorney for the purposes of this clause. The Reserve Manager, either in its own name or as the attorney of the applicant, is entitled to make claims against any insurance policy issued in relation to this venue hire agreement. Such claims may be made to recover any amount for loss, damage, or injury suffered by the Reserve Manager or for other payments under any indemnity provided by this agreement in favor of the Reserve Manager.

For the purposes of this clause, "loss" includes any damages, remedies, liabilities, expenses, fines, penalties, and costs (including full indemnity legal costs and associated expenses).

The obligations under this clause shall continue after the expiration of this license, except where claims arise from the negligence or willful misconduct of the Reserve Manager.


Arena Rules

  • Arena use must be conducted in an orderly manner and in full compliance with the Reserve Manager’s directions and all applicable laws. The Reserve Manager reserves the right to exclude or eject any persons from the venue without liability.

  • The applicant must be in attendance for the duration of the hire period.

  • Smoking and the consumption of alcohol are prohibited.

  • Lunging is not permitted within the arena.

  • No hay or horse feeding is permitted within the arena.

  • Children must be supervised at all times and must not play in the arena.

  • The venue must be left clean and tidy, with all rubbish and manure collected and removed. If the venue is not left in a clean condition, any incurred cleaning costs will be charged to the applicant.

  • Vehicles must not be parked in the arena and must not exceed 10 km/h within the showground area.

  • Arena gates must be left as they were found at the commencement of the hire period.

  • Keys must be returned at the end of the hire period by prior arrangement with the Reserve Manager. Lost keys will incur a $100.00 fee.


Cancellation by Reserve Manager

The Reserve Manager reserves the right to cancel your booking immediately, by verbal or written notice, if you are in breach of any hire conditions.


Applicant’s Responsibilities Regarding the Venue Hire Agreement

The applicant may not transfer, assign, or create any interest in the venue hire agreement or relinquish possession of the venue during the hire period.
